This professional, part-time position provides administrative support to the Pastor and other staff members, maintaining the church’s office, its functions, and the church’s membership.
This position reports to the Pastor.
*Primary Duties:* * Provide daily clerical and administrative functions in support of the pastor, staff, and church community.
* Promote the church’s mission through professional, effective communication with staff, congregants, and the public.
* Prepare, organize, and maintain church records and documents.
* Coordinate and maintain church publications in conjunction with other staff and church members, including the church web page, email blast, and other communications as required.
*Required Competencies/Qualifications:* * Associate’s Degree or equivalent work experience.
* Two (2) years secretarial/administrative experience.
* Proficiency in Microsoft Office Suite, including Publisher.
* Outstanding interpersonal skills; the ability to work effectively with the Pastor, Staff, church community, and the public.
* Excellent clerical, computer, and organizational skills.
* Attention to detail in all work.
* Excellent oral and written communication skills, including proofreading and editing.
* Knowledge of the principles and practices of church office record keeping.
* A clean background check.
* A professional attitude and a servant’s heart.
*Desired Qualifications:* * Three years secretarial/administrative experience.
* Demonstrate knowledge and experience in church or other faith-related setting.
* Knowledge of web editing .

*Accountability* The Administrative Assistant (AA) reports to the Pastor for ministry guidance.
The Pastor provides an annual evaluation of the AA’s performance and feedback every other week.
The AA will be responsible and subject to United Methodist policy and doctrine, and local church policy as determined by the Charge Conference, Pastor, and SPRC.
This is a year-round, part time position.

* Schedule appointments for and track completion of staff performance evaluations and other personnel forms.
* Maintain church master calendar of activities, meetings, and events.
* Assist church leaders with event planning, including facility needs and setup, use of outside banners and indoor displays.
* Prepare and proofread reports, letters, and statistical charts.
* Coordinate Charge Conference preparations for Pastor and Staff.
* Maintain and update Leadership Training Manual and assist Leadership Development with training as requested.
* Assist Trustees Committee as needed.
* Assist Treasurer as needed, including VANCO deposit and Weekly Numbers Reports.
* Manage and maintain background screening for teachers, volunteers, and leaders in ministry.
* Order materials and supplies to support all ministries.
* Manage and maintain various records: * Church membership information, including demographic data.
* Policy and procedures documentation for church ministries, available to members as needed.
* CPR/AED Certification tracking.
* Church key records.
* Provide support for church office systems: * Operate a variety of office equipment including the copier, facsimile machine, and computer; input and retrieve data and text; organize and maintain network disc storage and filing system; utilize church management software.
* Oversee the church’s phone system.
* Assist the Finance Secretary: * Print and enter the deposits each week through VANCO, our on-line giving mechanism.
* Run weekly reports of financial numbers and update the email blast with weekly totals.
* Assist with deposits as needed.
_Communications:_ * Take time to listen to and care for people who call and come by the church office; maintain regular and posted office hours as determined by the Pastor.
* Protect the reputation and integrity of others through strict confidentiality and exhibit the wisdom to refrain from indiscriminately sharing information.
* Maintain and update the church website, including Worship information, the Congregational Care List, the Church Calendar, notices of Special Events, Mission Opportunities, and the Prayer List.
* Prepare and distribute the weekly church email newsletter (aka “Blast”) to all members, with input from staff and church members.
* Support marketing efforts of the church for evangelism in reaching out to the community.
* Work with staff and volunteers to design promotional and informational print materials.
* Work with staff and volunteers to plan and place regular and seasonal advertising.
* Write news releases and maintain proactive media relations as needed/directed.
* Process requests for slides or announcements for Church Services.
* Process requests for room reservations.
_Membership:_ * Update church membership rolls, including baptisms, transfers, deaths, and new members, using available church management software and with Pastor’s direction.
* Follow up with first time visitors via mail, email, or phone.
* Update Vital Congregational statistics weekly.
* Provide attendance data to the church historian or others upon request.
_Meetings:_ * Attend weekly and quarterly staff meetings _Complete Other Duties as Assigned_ Job Type: Part-time Pay: $17.
