About the Position The Inn Food and Beverage Coordinator provides administrative support in a team-based environment to the Food and Beverage department.
Responsibilities include but are not limited to: Outlook calendar maintenance, copy, file, fax, answer telephones, and monitoring/ordering office supplies and stationery.
Prepare check requests, expense reports, letters, menu cards, presentations, banquet event orders, changes to banquet event orders, posted banquet check reports, and other miscellaneous correspondence and reports.
Provides administrative support or “coverage” for the Food and Beverage Leadership team due to staffing levels.
Perform other administrative duties as assigned.
Essential Functions: Assist with reservationist duties such as developing inventories for special events, inputting restaurant events into EMS, providing leadership during prepaid functions, performing callbacks pertaining to reservations.
Acts as Liaison with President’s Office regarding restaurant reservations for VIPs and Colonial Williamsburg Board Members.
Prepare gift certificates as requested for events needed or pertaining to guest satisfaction.
Circulate the weekly distribution of banquet event orders (BEO) and daily change logs to all departmental units necessary.
Create, revise, review, print, and distribute information and updated menus to key departments (Concierge, call center, visitors center, Culinary, front desk, and dining room).
Prepare and print special signage for events and special requests.
Prepare weekly Managers Schedule for distribution.
Attend and record all formal and vocal information to obtain working meeting minutes.
Update and maintain the Employee bulletin board.
Ability to assist guests/associates within the CWC by answering general questions regarding Food and Beverage Operations.
Answering internal and external procedural challenges by offering solutions that lead to guest satisfaction.
Assist in the administrative support to the food and beverage team with screening and routing telephone calls, answering questions involving interpretation of policies and procedures, greets, screens, and announces visitors; provides customer service to hotel guests and handles issues when the management team is not available.
Place the weekly linen order for the departments based on business needs, projects volumes and inventory stock.
Control inventory flow with standard operating procedures and good decision-making skills, and process invoices in a timely manner for cost saving measures at all opportunities.
Designs and creates filing systems, maintains confidential files for the Food and Beverage Management Team.
Order office supplies (Pens, paper, menu cards, formal forms, letterheads, printer ink, business cards, printer tape, etc.
); Maintain services and product orders for Printer/Copier Track Monthly bank audits for cashiers.
Follows the Colonial Williamsburg Company appearance policy to adhere to uniform, dress, presentation, and personal hygiene guidelines.
Ensures your workspace is kept in a clean and organized manner and maintains a sanitary environment for safety.
Demonstrates teamwork by leading by example, encouraging others and training as needed.
Provides assistance when asked and under any circumstance.
Maintains positive working relationship with the following team members: culinary team, Front of house Team, Waitstaff, Executive Steward and utility, Resident Manager, Front Desk, Concierge, Potential Guests and Main Clients, and Creative Production Team.
Required and Preferred Education and Experience: Required: Minimum 2-4 years related experience in the Administrative Support field or Associate/Technical School Degree Preferred: Prior food and beverage experience Qualifications: Must possess strong communication skills, oral and written, including proper grammar usage.
Must possess ability to handle large volumes of incoming client telephone calls.
Must possess strong Guest Service and telephone etiquette skills.
Excellent computer skills include Microsoft Office (Word, Excel, Outlook) and industry Point of Sale and Hotel Date Input Systems (Opera).
Able to learn and operate electronic reservation systems (OpenTable) Fluency in English reading, speaking, writing, and proficiency in proofreading.
Demonstrated self-starter with strong organization skills including attention to detail and follow-through.
Must possess problem solving and decision-making skills.
Must be able to prioritize and handle multiple projects.
Must be able to work flexible hours including nights, weekends, and holidays.
Must have the ability to work in a team environment as well as independently.
Must be able to understand and follow instructions.
