Position Information Position Number 00583W Position Title Fiscal & Administrative Coordinator, Graduate Program (ANTH) Employment Category Full Time Operational Unit Mission Statement The Department of Anthropology at William & Mary offers courses in the four fields of the discipline, including archaeology, bioanthropology, linguistics, and cultural anthropology.
A strong undergraduate program completes a PhD program in Historical Archaeology and Historical Anthropology.
Department strengths include comparative colonial archaeology, the Caribbean, African Diaspora studies, and Native America.
Position Summary William & Mary’s Anthropology Department seeks an experienced professional for the position of Fiscal & Administrative Coordinator, Graduate Program, whose efforts will support approximately a dozen full-time, affiliated, or visiting faculty members.
Under the supervision of the department chair and director of Graduate Studies, this position manages all fiscal/budget and administrative needs of the Anthropology department and its graduate program.
Primary responsibilities include supervision of one administrative staff member and student office assistants, in addition to the following: Providing or overseeing fiscal and administrative support for the department chair, graduate director, faculty, and office to include processing of reimbursements, journal vouchers, fund transfers/deposits, status reports and financial statements.
Identifying administrative goals and priorities, with an emphasis on strategic budgetary management.
Interpreting new directives, policies, and procedures and communicates changes to appropriate staff.
Providing or overseeing administrative and faculty personnel Services to include facilitating recruitment and hiring processes, faculty appointments, and processes for merit review, promotion and tenure while ensuring compliance with all applicable policies and procedures.
Managing the department’s indexes by verifying accounting entries, balancing monthly expenditures against the budget, maintaining budget tracking spreadsheets, and assisting in budget planning by providing financial analysis of resources to the department chair.
Working with Private Fund Accounting to ensure compliance with individual private fund gift restrictions.
Liaising with multiple units on campus to facilitate processing of transactions and procurement of equipment and services.
Conducting grant accounting and provide pre- and post-award assistance in budget and cost projections; coordinate with the Office of Sponsored Programs to ensure that grant funds are expended appropriately, in compliance with federal and state guidelines.
Serving as a resource for graduate program recruitment and admissions processes; supervising administrative staff and students who assist with coordination of orientation activities and required paperwork.
Supervising course scheduling and registration processes, which include coordinating with other department/program schedulers on cross-listing courses to ensure maximum registration.
Required Qualifications EDUCATION: Bachelor’s degree from an accredited institution or an equivalent combination of training, education and/or experience indicating possession of the preceding knowledge, skills and abilities.
KNOWLEDGE, SKILLS AND ABILITIES: Considerable knowledge of administrative and office business practices, office management, including customer-service techniques.
Working knowledge of fiscal administration and basic accounting principles.
Working knowledge of procurement and purchasing policies, procedures and practices.
Demonstrated skill with automated and productivity systems in the areas of fund management, procurement, and reporting.
Demonstrated proficiency in computer skills to include Internet browsers and Microsoft Office: Word, Excel, and Outlook.
Demonstrated skill in tracking and projecting expenditures and making sound fiscal recommendations.
Demonstrated ability to communicate effectively, orally and in writing, to a diverse population of faculty and staff.
Ability to interpret and apply organizational policies, procedures in accordance with state and federal guidelines.
Demonstrated ability to provide a high-level of customer service utilizing a high-level of interpersonal and communication skills, with the ability to interact professionally with faculty and staff in order to provide guidance, information, and resolve fiscal inquiries and problems.
Preferred Qualifications EXPERIENCE: Experience working in a higher education environment.
Prior supervisory experience.
Prior fiscal administration experience.
Experience with grant administration.
Experience with course scheduling and registration processes.
Prior graduate program coordination experience.
Familiarity with personnel processes for instructional faculty (i.
e.
, promotion, tenure review, merit, etc.
).
Familiarity with COLL designations, EPC guidelines, and use of attribute application for compliance in scheduling.
Experience in automated operational/business systems (e.
g.
, Banner, Qlik, BuyW&M, Chrome River).
